The software developed by MJ Care is designed to easily process all claims electronically and allows district staff to complete Medicaid billing either over the Internet from any web capable computer or, if preferred, by using streamlined service encounter forms. It is able to easily import a flat file from an IEP writing/tracking database to further enhance this capability as demonstrated by our districts that choose to share data between their current IEP program and our billing program to streamline efficiencies. District personnel can monitor, manage and track revenue, and generate multiple service and eligibility reports.

We are also fanatical about the security of your billing and therefore take additional safety measures by including virus, firewall, SSL encryption and password protection. We manage and back-up all data nightly through our off-site secure storage, provide renowned, outstanding customer support and personal training, comply with all stringent HIPAA and FERPA requirements and actively participate at state and national levels to keep your staff current on requirements, trends and anticipated changes.

Billing Submission

MJ Care submits claims weekly or monthly, depending on the requirements of the district. Our software is designed to keep superfluous claims out of the system by validating all claims prior to submission therefore creating very few, if any denials. (It accomplishes this by verifying monthly student eligibility for Medicaid benefits and re-verifies eligible students who may have had ineligible periods during the school year). The user can review and modify the information before submitting the billing. The software was also developed to access and import remittance and status reports.

Reconciliation

To lessen the chance for a denied claim our staff maintains a weekly reconciliation procedure that is completely paperless. After the remittance and status report are imported, payments are automatically posted. If there are any denied claims, they are instantly resubmitted. Our unique system allows the ability to research the reason for a denied claim, resubmit for payment, generate a new claim to bill, reveal the status of each claim, provide an aging report, determine if partial or full payment was received and on rare occasion write off the claim.

Customized Reporting

MJ Care offers reporting capabilities to meet any district needs. There are no extra costs for any functions that the system can perform including our most popular reports:

Claims Billing Reports: The billing reports can be sorted by totals only, specific procedure code, month or date of service for one student or for all students within a district. Reports may also be generated by service providers.

Remittance Reports: The MJ Care billing program will print remittance reports (835's) imported into our system with a variety of options including summary, detail, exceptions (denied claims) and a more fully detailed remittance report.

Miscellaneous Reports: The most useful and frequently requested reports are: Medicaid students, Non-Medicaid students, monthly eligibility, students listed by service provider, students with no billable services for a specific period range, caseload by therapist and tracking of service providers' treatment reports.

Supervisor Reports: Our newest feature allows our clients to track their staff member’s documentation to hold them accountable.
